NOTE: Occupancy must not exceed the posted number of people that the location sleeps. The information that is provided, though deemed accurate, is not guaranteed, it might be subject to errors, omissions, change of price, or withdrawal without notice. Rates do not include applicable taxes and cleaning fees (Cleaning Fees are applied on every short term reservation and reservation over 27 nights. For reservations for multiple months, a regular cleaning fees will be charged once a month. At the end of the term, a move out cleaning fee, including carpet and upholstery cleaning may be applied). Some properties are subject to applicable GST (Goods and Services Tax) and applicable District Tax. Please ask your agent for more information and a complete rate quote.

Payment Policy

Security Deposits for short term rentals are secured on a credit card at time of check-in. Charges are applied only if there is evidence of damages and missing access devices (fob and a clicker).

A refundable damage deposit and Pet Deposit where applicable are paid to Victoria Royal Vacations Inc. via e-transfer or in the form of a cheque at the time of booking no later than the check in date.

Deposit for a reservation of accommodation is accepted by Victoria Royal Vacations Inc. via e-transfer; Visa; MasterCard; cheques; certified cheques; bank drafts and PayPal only.

Payment of rent is accepted by Victoria Royal Vacations Inc. via e-transfer; Visa; MasterCard; cheques; certified cheques; bank drafts and PayPal only.

Payments via credit card and PayPal are subject to additional processing fees. Please inquire with your agent about the processing cost for your reservation.

Payment Required: All reservations must be secured by credit card at time of booking. Full balance amount is due 45 days prior to arrival date. If bookings are made less than 45 days prior to occupancy, full amount of your reservation is due at time of booking. Payment is due as per contract or set agreement.

Damage deposit is secured by credit card at check in, or separate invoice must be paid for reservations over 28 nights in length; charges are only applied if there is evidence of damage after check out inspections.

Orders for pay-per-view and custom made cable packages + long distance are at an additional charge.

Some suites do not come with parking and parking will be at additional cost. Please check with your agent if parking is included with your accommodation package.

Cancellation and Refund Policy

A $180.00 non-refundable processing fee will be charged for all refunds and will be deducted from the prepaid deposit/rent. If reservation is cancelled more than 45 days prior to arrival date the deposit/rent will be refunded in full less than the non-refundable processing fee of $180.00. The entire deposit becomes non-refundable if reservation is cancelled less than 45 days prior to arrival date. Refund for short term reservations only, which are less than 30 days in length will be processed and issued within 30 days of the date of cancellation notification made in writing from the guest. For long term reservations, which are 30 days in length and over, refer to individually signed contract, terms and conditions.

**** Cancelled reservations due to the COVID 19 – after May 31,2020 will be subject to $180 cancellation fee + GST and will be eligible only for a gift certificate in accordance with our regular cancellation policy.

Privacy Policy

Victoria Royal Vacations Inc. recognizes the importance of protecting the privacy of personal information collected online and offline by us about owners, guests and prospective guests. In recognizing the importance of your privacy Victoria Royal Vacations Inc. has developed a Privacy Policy in compliance with British Columbia’s PIPA (Personal Information Protection Act) that sets out how we collect, use, and disclose your personal information. What is Personal information?

Personal information means information about an identifiable individual such as someone’s name, home address, social insurance number, sex, age, emergency contacts or family status.

Collection and Use of Personal Information

emergency contact
accommodation preferences
credit card numbers
related credit and transaction information

We will use your personal information as reasonably required for us to carry on our business, including, but not limited to:

establishing your Owner or Guest record
matching you with a vacation accommodation
sending periodically information to you
dealing with an emergency through alternate contacts and subcontractors(for instance if we need to make repairs and have to call a plumber)
enforcing a contract
providing requested services or products
the use of surveys for optimization of our website to become more user friendly
to analyze your feedback in order to improve our services offered to you
to inform you about upcoming promotions and specials
to maximize efficiency and increase quality of customer experience
to inform you about new available products and services

Disclosing Personal Information

Victoria Royal Vacations Inc. may be required to disclose your personal information to a third party. Examples of disclosure include:

To an Owner: We may disclose Guest information to the Owner of a vacation accommodation when a prospective guest has expressed interest in the Owner’s accommodation.

To an Agent: We may disclose personal information to an agent for a Guest or Owner where Victoria Royal Vacations Inc. reasonably believes such individual is acting as agent for that Guest or Owner.

Another person or organization providing services on our behalf such as, but not limited to our website operators.

Accounting: We may disclose personal information for the purpose of collecting on a debt obligation to Victoria Royal Vacations Inc.

Legal Obligation: We may be permitted or required by law to collect, use, or disclose Personal Information about you without your consent for certain purposes including, but not limited to, a law enforcement agency, response to a court order, under discovery in litigation and prosecution, or a search warrant.

We do NOT sell or rent personal information about our Guests or Owners to third parties. We will only collect, use or disclose Personal Information in accordance with PIPA. We are not responsible or liable for your personal information in the care of third parties.

Your Consent

Generally, by providing Victoria Royal Vacations Inc. with your personal information, whether orally, in writing, or electronically, you are consenting to our collection, use, and disclosure of such information pursuant to the terms described under Collection and Use of Personal Information in our Privacy Policy.

Upon reasonable notice consent may be withdrawn provided, however, that consent cannot be withdrawn where doing so would frustrate performance of a legal obligation, such as, but not limited to, a contact between a Guest or Owner and Victoria Royal Vacations Inc.

If consent is withdrawn PIPA requires us to tell you of the consequences of withdrawing consent. Withdrawing consent may prevent us from providing our services.

Protection and Retention

Victoria Royal Vacations Inc. takes precautions to protect your personal information from theft, misuse, and unauthorized access, disclosure, alteration, and destruction.

Victoria Royal Vacations Inc. will keep personal information used to make a decision that directly affects individuals in accordance with the law.

We will use reasonably secure methods whenever we destroy Personal Information.

Released and Indemnity

In the event of a breach or loss of personal information, whether caused by the negligence or alleged negligence of Victoria Royal Vacations Inc. or otherwise, you forever release, waive, and discharge Victoria Royal Vacations Inc. and their respective administrators, directors, agents, officers, and employees from all liability, claims, demands, losses or damages caused or alleged to be caused from the breach or loss of personal information.

Despite the foregoing release of liability you agree that if you or a child of yours makes a claim against Victoria Royal Vacations Inc. or their administrators, directors, agents, officers, and employees that you will indemnify and save harmless such parties from any loss, liability, damages, litigation expenses and all other costs related to such claim.

Policy Changes

Victoria Royal Vacations Inc. may revise this Privacy Policy at any time without prior notice. Changes to our Privacy Policy will be posted to our website. Any change shall be effective immediately upon posting. Owners and Guests are encouraged to review the privacy policy periodically and contact Victoria Royal Vacations Inc. if concerned about how personal information may be used.

Other policies

Due to allergies the majority of our accommodations are pet free. All of our rental units are non-smoking.

Check In/Check Out time: Check in time is 4:30 pm/ Check out time is by 11:00 am. If check in/out time is not convenient for you please ask your agent at time of booking for an alternative check in/out time according to your arrival/departure times. Every reasonable effort will be made to accommodate your travelling needs.

Upon arrival, the guest is requested to inspect the suite and notify Victoria Royal Vacations in writing within 24 hours of their check in of any problems or misinformation provided in the current listing.

Arrival / Departure

Upon arrival, our greeter will meet you according to reservation/booking arrangements at the front entrance of the building and will provide a personalized/remote check-in which includes a walk through the building, an inspection of the suite and amenities, information about access codes, common areas, special features of the suite and building, and building policies.
